One Operating Environment for the
Takealot Personal Shopper Programme
A proposal to run eKasi Enterprises' delivery of the Personal Shopper Skills Training & Support Programme on a single environment — recruitment, vetting, compliance, onboarding, mobile learning, attendance, engagement, mentorship, support, monitoring and sponsor reporting for up to 2,000 participants.
The Challenge
What it costs to run a national programme for 2,000 people on spreadsheets, mailboxes and WhatsApp groups
Without a Programme Environment
Candidate Data in Parallel Registers
Recruitment, compliance and training teams keep their own lists, so the same Personal Shopper is contacted three times for the same document
Document Chasing Without End
Unreadable ID photos, outdated certification, missing signatures and combined images arrive by email and WhatsApp, and are rejected by hand
Dropout Discovered Too Late
Disengagement only becomes visible in an attendance register weeks after the participant actually stopped taking part
Rumour Beats Fact
Stipend and device expectations spread through group chats faster than any official clarification can reach the cohort
Reporting Rebuilt Every Month
Sponsor and management reports are reassembled by hand from separate sources, and audit preparation becomes a project of its own
With skillSYMS
One Participant Record
Application, compliance, learning, attendance, communications, support and mentorship on a single timeline per person
Compliance Wallet with QA
Documents submitted from a phone, reviewed with standard reasons, and corrections requested automatically
Risk Before Dropout
Engagement scoring classifies each participant Active, Watch, At Risk or Intervention Required while there is still time to act
An Official Source of Truth
Stipend, device and incentive facts published once and pushed to everyone affected, with acknowledgement recorded
Reports From Live Data
Mobilisation, compliance, attendance, engagement and outcome reporting generated from the same records that run delivery
The operating pressures above are drawn from the Takealot RFP and from how programmes of this size typically run. Each will be confirmed — and corrected where we have it wrong — in the configuration workshop before build.
The Platform
A dedicated eKasi Enterprises environment inside skillSYMS — a programme operating system, not a conventional LMS
Mobilise
Recruitment, screening, vetting, compliance collection and onboarding
Accelerate
Mobile-first learning journeys, Action Missions, live sessions and the knowledge hub
Grow
Customer tracker, sales journal, commission tools, campaigns and growth plans
Engage
Peer mentor circles, unified communications and the 24-hour support desk
Measure
Baseline, engagement, outcomes, geography and sponsor reporting
Control

Programme Hierarchy
The same structure accommodates future eKasi programmes — mentorship circles, youth entrepreneurship, incubation, enterprise and supplier development, SMME and corporate ESD interventions — without procuring another system.

Why It Matters for This Programme
Low-Data by Design
Text-first content, compressed media and cached programme information for participants paying for every megabyte
Works Through Interruptions
Cached content and queued submissions survive network drops and power interruptions, syncing when signal returns
POPIA-Aligned Security
Encryption in transit and at rest, protected document storage, role-based access and full audit logs
Scales to the Cohort
2,000 Personal Shoppers today, with no ceiling on user numbers — and room for eKasi's next programme on the same instance
Fast Everywhere
Edge delivery from hundreds of locations, so a participant in Limpopo gets the same experience as one in Cape Town
99.9% Uptime Target
Managed hosting, monitoring and disaster recovery included in the platform service
True network-level zero-rating or data-free access remains subject to the technical and commercial arrangements of the applicable telecommunications providers, and should be confirmed separately before being represented as guaranteed.
Implementation Plan
Parallel workstreams, because the incoming cohort has to be mobilised immediately
Enhancement continues after week five without interrupting active programme delivery — the environment is released progressively, not in a single big-bang cutover.
Commercial Model
Priced per instance, not per user. One eKasi Enterprises instance carries an unlimited number of participants, facilitators, mentors and administrators. All amounts exclude VAT.
Step 1 — Choose your go-live date
Identical scope in all three. What changes is how many workstreams run at once, and therefore the establishment fee.
Licence, Hosting & Support — Unlimited Users
5 Weeks to Go-Live
Three to four workstreams running at a time.
Year One
Establishment plus twelve months of licence and support.
Implementation Plan
Editions Compared
Identical platform, identical licence, unlimited users in all three — the difference is the date you go live
Quoted Separately
Deliberately excluded from the platform price so the core cost stays clear
Additional participants
Nothing to quote — the licence is per instance, so participant numbers never change the price
Additional eKasi programmes
Run on the same instance at no additional licence cost; new programme configuration is quoted only where it needs bespoke work
Bulk SMS
Charged on actual messaging volume and gateway pricing
WhatsApp Business messaging
Charged on applicable Meta / provider conversation or template charges
Network zero-rating
Subject to technical feasibility and telecommunications-provider commercial arrangements
Bespoke software development
Quoted where requirements fall outside standard configuration
Complex third-party integrations
Quoted after technical discovery, including any Takealot data integration
Extensive data cleansing
Standard import is included; large-scale historical cleansing or transformation is quoted separately
Learning content development
Curriculum authoring, graphic design and video production are not included unless specifically contracted
On-site resources
Travel, accommodation, venues, hardware and field personnel are excluded unless separately agreed

Assumptions & Clarifications
Stated up front so the commercial basis is unambiguous
Commercial assumptions
- The Takealot 2026 cohort is 2,000 participants; the licence places no cap on user numbers
- The programme is principally digitally delivered
- eKasi remains the implementing organisation and provides the human delivery team
- Programme content and Takealot-specific rules are supplied or approved by eKasi / Takealot
- Standard platform configuration is covered; major bespoke development is separately scoped
- Standard data import formats will be supplied
- Third-party messaging charges are excluded
- True telecommunications zero-rating is subject to external provider approval
- Any direct Takealot API integration requires Takealot technical approval and documentation
- POPIA and data-processing responsibilities are formalised in the relevant agreements
RFP clarification to raise with Takealot
The RFP describes the incoming cohort as 2,000 Personal Shoppers, but the section dealing with mandatory compliance documentation refers to a 500-person cohort.
For pricing purposes this proposal assumes the platform must support the full 2,000-person cohort. eKasi should ask Takealot to confirm whether the complete compliance-document bundle applies to all 2,000 participants or to a specific 500-participant subset.
The answer may materially affect eKasi's human-resource and administration cost. It does not materially affect the proposed platform capacity.
Commercial pricing is valid for 30 days from the date of proposal unless otherwise agreed, and final terms remain subject to approved scope, SLA, implementation schedule, data-processing agreement, third-party integration requirements and final programme requirements.
Value & Impact
What changes for eKasi, for the Personal Shoppers and for Takealot
The objective is not to be able to say "2,000 people were trained."
It is to be able to say: "2,000 entrepreneurs were individually tracked, supported and developed — and we can demonstrate what changed."
That distinction creates value for Takealot today and strengthens eKasi Enterprises for every enterprise-development partnership that follows. Where participant data can be independently verified through Takealot or another authorised source, outcomes can also be classified by evidence quality — self-reported, platform-observed or verified.
